The primary purpose of this position is to ensure the accurate and timely preparation of all necessary customs documentation for import and export shipments, guaranteeing compliance with all applicable regulations. This role is crucial for facilitating the smooth and efficient movement of goods across international borders. While customs documentation is the core focus, the specialist will also provide support to other logistics functions as needed.
Essential Functions and Key Responsibilities:
- Prepare and process all required customs documentation, including but not limited to commercial invoices, packing lists, certificates of origin, customs declarations and duty drawback documentation.
- Ensure all documentation is accurate, complete, and compliant with relevant customs regulations and laws.
- Maintain meticulous records of all customs filings and related documentation.
- Stay informed about changes in customs regulations and procedures and implement necessary adjustments.
- Resolve any customs-related issues or discrepancies promptly and efficiently.
- Communicate effectively with customs brokers, freight forwarders, and other relevant parties to facilitate smooth customs clearance.
- Assist with scheduling truck pickups and deliveries for FTL and LTL shipments.
- Process and manage UPS shipments, including generating labels and tracking deliveries.
- Assist with inventory tracking and updates in Airtable and Smartsheets.
- Provide general administrative support to the OTR teams, as required
- Any other tasks assigned by Supervisor / Management.
Knowledge, Qualifications and Skill Requirements:
- Comprehensive understanding of import and export regulations and procedures, coupled with proven experience in customs documentation and compliance.
- Exceptional attention to detail, accuracy, and strong organizational and time management skills.
- Excellent communication and interpersonal skills, along with the ability to work independently and collaboratively within a team.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Drive).
- Experience with tracking and managing inventory.
- Comfortable operating in a team-based environment.
- Ability to manage stress and work effectively in challenging situations.
- Understanding of and adherence to the company's vision and values, with a focus on customer satisfaction.
- Ability and willingness to work flexible hours as needed.
- Knowledge and understanding of the C-TPAT program.
- Proven relevant experience and willingness to participate in training and complete a probationary period.
Education and Experience:
- Completion of post-secondary school required
- Minimum of 2 years of experience in customs documentation or a related field.
- Formal education or certification in customs brokerage or international trade is preferred.
- Experience with customs brokerage software is preferred.
- Experience with freight forwarding is preferred.
- Excellent communication skills (written and verbal) for external and internal customers
